SUMMARY
Relieves the executive of administrative type functions in order to increase the time an executive has available for executive level responsibilities. Handle a wide variety of situations and conflicts involving the clerical and administrative function of the office. Responsible to handle and be privy to confidential and time sensitive material the maintaining strictest confidentiality. Prepares routine and advanced correspondence including letters, memoranda, agenda, schedules, and reports. Essential job duties may include screening calls, making travel arrangements, preparing reports and financial data, training and supervising other support staff, customer relations and internet research. Works in concert with the Executive Assistant to the President & Board of Trustees and other executives to ensure efficiency in Grady Health System operations. This position requires broad discretionary judgment and the use of tact and diplomacy at all times. Requires a thorough working knowledge of the senior executive essential job duties to effectively schedule the executive's calendar, manage inquires, initiate and carry out requests. Must be able to discern and anticipate needs, proactively plan and execute with a fair degree of independence working in close collaboration and communications with the executive and his or her direct reports and customers.

QUALIFICATIONS

  • Baccalaureate degree preferred
  • Three to five years experience supporting at the executive level
  • Prior experience in a health care environment strongly preferred
  • Excellent calendar management skills, including the coordination of complex executive meetings
  • Prior experience working with executive committees, Request for Proposals (RFPs)/Request for Information (RFIs), corporate moves and preparing multiple budgets a must
  • Demonstrated ability to interact with staff (at all levels) in a fast paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, a high level of professionalism and confidentiality is crucial to this role
  • Strong level of written and verbal communication skills, strong decision making ability and attention to detail a must
  • Demonstrated experience with word processing software packages, i.e. Word, PowerPoint, Excel, etc.
  • 50 wpm accurate typing
  • Must be able to work independently and exercise sound judgment
  • Must have a verifiable record of punctuality and exceptional attendance
  • Professional business attire and appearance required
  • Must be available for some early morning, late evening and weekends for project work
